Jobs, customers, quotes, certificates, photos, timesheets, receipts and messages your business enters — stored on your device (offline-first) and synced to your business's own cloud account. We don't sell it and we don't mine it. One customer detail does go to an outside service, and only one: the postcode, to put a job on the map. That's set out in full under Postcodes & the map below.
The field app uses your location only when you act: starting a job stamps where you clocked on; "On my way" shares your live position with that one customer, only while you're driving to them, and stops automatically when you arrive (or after 90 minutes). There is no background tracking, ever.
To put a job on the desk map, work out how far apart two jobs are, or warn that a booking is a long drive from the last one, the app needs coordinates for the job's postcode. So it sends the postcode on its own — nothing else — to api.postcodes.io over a secure connection, and gets back a latitude and longitude.
No name, no house number, no street, no phone number, no email address. Just the postcode, like LS14AP — a postcode on its own, with no name and no house number sat against it.
That request goes out from the browser or phone the app is open in, so the service also sees that device's internet (IP) address and that the request came from Stacked Out. Each postcode is looked up once, ever — the answer is saved and shared across your own firm's devices, so the same postcode is never sent again.
postcodes.io is run by Ideal Postcodes and serves Ordnance Survey and Office for National Statistics open data. It needs no account and no key, and we have no contract with them. The map's background pictures come from OpenStreetMap. Tapping Directions hands the full address to whichever maps app you pick — Apple Maps, Google Maps or Waze — but only when you tap it, and from that point it's that app's own privacy policy that applies.
Photos you take attach to the job or receipt you took them for. Nothing accesses your photo library beyond what you pick.
Optional — used to tell you about your own jobs and tasks. Switch them off in your device settings any time.
Texts to customers send through the business's own messaging number (Twilio). The AI assistant, when the business enables it, processes conversation text via Anthropic's API to draft replies — no data is used to train models.
Stacked Out sits behind you and works in your name. Quotes, invoices, texts, booking links and certificates all go out as yours, under your brand — your customer deals with you, not with us, and everything above happens on your behalf.
Which means the postcode lookup above is worth knowing about, because it's the one place a customer's detail leaves the app to a company that is neither us nor your own cloud account. We've spelled out exactly what goes and what doesn't, so you can answer a customer who asks, and so you've got the facts to hand if your own privacy notice needs them. What that notice has to say is a question for whoever advises you on it — we can tell you what the software does, not what your paperwork needs.
